
We currently have in the region of 100 directly employed operatives working on our business throughout the south and south west of the country. This large workforce of mobile staff operates with the support and guidance of a sophisticated technology-based system.
The core of the system is a software programme called Planet FM Enterprise, a recent upgrade from the Planet Contract Management System programme used previously. The programme enables all of the details, rules and regulations of each individual contract to be stored in one central database.
When work orders come into the FM Enterprise system, it identifies the contract for the job and determines and prioritises it in accordance with the rules and regulations for that particular contract.
The FM Enterprise software then interfaces with a scheduling software programme, called OptiTime, which identifies the operative closest to the location of the job with the appropriate skills to perform the required work and schedules this within that individual’s job sequence and in accordance with the priority attributed to the job.
OptiTime then links through to a mobile interface system called Cognito which communicates the job schedule to the individual operative giving him clear instructions as to what is required.
Once the job is completed, Cognito enables the client to sign an electronic completion form which is then fed back through the system and recorded on the FM Enterprise database.
Rydon also operates call centres in various locations which deal with customer enquiries and put the work orders into the FM Enterprise system. The company is also testing an online system which enables end users, such as social housing tenants, to book their work directly via an extranet.
